Our client operates as both an internal HR function for a group of companies and an external HR consultancy serving dozens of client businesses. At any given time, they are managing hundreds of open job roles across industries - technology, manufacturing, healthcare, and retail. Their team of 14 recruiters was drowning.
The Problem
Hiring at scale is brutal. The traditional process is slow, inconsistent, and heavily dependent on individual recruiter judgment - which varies wildly.
- Resume Overload: For a single open role, the team would receive 200–800 applications. Manually screening even a fraction of these was eating up entire work days. Many qualified candidates were being rejected simply because reviewers were fatigued.
- Inconsistent Interviews: Different interviewers asked different questions, scored candidates differently, and documented feedback in incompatible formats. This made it nearly impossible to compare candidates objectively.

- AI-Powered Resume Screening: The system ingests job descriptions and automatically extracts key requirements - skills, experience thresholds, educational qualifications, and domain-specific keywords. It then processes incoming resumes, scores each candidate against the job profile, and ranks them with an explanation of the match. Recruiters start every day with a pre-ranked shortlist, not a pile of raw applications.
- Automated AI-Led Interviews: Shortlisted candidates are invited to an AI-conducted interview. The system asks role-specific questions - technical, behavioral, and situational - adapts follow-up questions based on responses, and maintains a consistent, professional tone throughout. Candidates complete the interview on their own schedule, eliminating the back-and-forth of scheduling calls.
- Detailed Evaluation Reports: After each interview, the platform generates a structured report: candidate strengths, weaknesses, communication clarity, technical competency score, culture-fit indicators, and a final hiring recommendation with reasoning. Recruiters receive a document they can act on immediately.
- Multi-Client Consultancy Portal: HR consultancy clients get their own branded portal where they can post jobs, define evaluation criteria, track candidate pipelines, and access reports - all powered by the same AI engine, completely white-labeled.
The Results: Hiring at the Speed of Business
The platform compressed a 9-day process into under 4 hours - from application to completed AI interview with a full report ready for human review. Resume screening accuracy improved dramatically, with fewer qualified candidates falling through the cracks and fewer unsuitable candidates making it to the human interview stage.
The consultancy was able to take on 40% more client accounts without adding headcount. Recruiters shifted their energy from administrative screening to relationship-building and final-stage evaluation - the parts of hiring that actually require human judgment.
