The Customer: An Accredited Multi-Discipline Testing Laboratory
Our client operates an accredited laboratory network providing testing and analysis services across food safety, environmental monitoring, water quality, and materials testing. As an accredited lab, they are subject to rigorous government and international regulatory standards (ISO/IEC 17025 and country-specific requirements). Their existing sample management and reporting processes were a patchwork of spreadsheets, document templates, and partially manual workflows - functional, but fragile, and increasingly likely to generate compliance failures as volume grew.
The Problem
Laboratories at this level cannot afford compliance failures. And their existing tools were not built to prevent them.
- Manual and Error-Prone Workflows: Sample registration, test assignment, result entry, and report generation were largely manual. The risk of transcription errors - wrong results attributed to wrong samples, incorrect units, missing fields - was significant and increasing as throughput grew.
- Compliance Was a Manual Effort: Meeting regulatory requirements for report formatting, chain of custody documentation, method references, and uncertainty of measurement declarations required staff to remember and apply rules manually every time. Audits regularly found minor non-conformances that the team had to scramble to address.
- Rigid Reporting: The lab's existing software supported a fixed set of test types. Adding a new test, a new method, or a new report format required IT involvement and often workarounds. As the lab expanded its testing scope, the software became a bottleneck.
- No Integrated Customer Management: Customer sample submissions, past orders, communication history, and report delivery were managed across separate tools. There was no unified view of a customer's full history with the lab.
- Scaling Was Painful: Each new lab location or testing department required manual configuration of the existing system - or separate installations with no shared data. The group had no way to manage multiple labs from a unified platform.
How We Helped
We built a comprehensive LIMS from the ground up - designed specifically for regulatory compliance, operational efficiency, and unlimited scalability.
- Flexible Test Configuration Engine: Unlike rigid off-the-shelf LIMS software, our system allows the lab to define and configure an unlimited number of test types, methods, parameters, units, and acceptance criteria - entirely without developer involvement. A quality manager can add a new test type and all associated report fields through a structured configuration interface.
- End-to-End Sample Workflow: From the moment a sample is received (with barcode/QR tracking from registration), through test assignment, bench-level result entry, internal review, and final approval - every step is managed in the system with a complete, auditable record. Chain of custody is maintained automatically.
- Automated, Compliant Report Generation: Reports are generated automatically from entered results using templates pre-configured to meet applicable regulatory standards. All required elements - method references, uncertainty declarations, accreditation scope statements, authorizing signatures, and formatting - are enforced by the template. Staff cannot generate a non-compliant report by accident.
- Regulatory Compliance Enforcement: The system includes built-in validation rules aligned to ISO/IEC 17025 and applicable national standards. Required fields cannot be left blank. Out-of-range results trigger mandatory review flags. Every state-change in a sample's lifecycle is timestamped and attributed to a specific user.
- Customer Management Portal: A full CRM layer manages customer accounts - contact details, accreditation certificates, historical sample submissions, report archives, and billing records. Customers can also be given portal access to submit samples online, track progress, and download completed reports.
- Multi-Lab Architecture: The system is built to support multiple lab locations within a single instance - each with its own users, test scope, and configurations, but sharing a common data layer. Management has cross-lab visibility; lab staff see only their own location.
The Results: Compliance Built In, Not Bolted On
The lab passed their most recent regulatory audit with a compliance rate of 99.6% - the first audit in four years without major findings. Auditors specifically noted the quality and completeness of the system's documentation and chain-of-custody records.
Report generation time dropped from 2–3 hours of manual preparation to under 5 minutes. The lab added three new test scopes in the six months following deployment - each configured in the system within days, compared to weeks or months under the previous setup.
Customer satisfaction improved as portal access gave clients real-time visibility into their sample status, and report turnaround times shortened significantly.
